How do I use the automatic configuration of my existing devices in the Cloud PBX (ACS)?

In the following we will explain how to use the automatic configuration (ACS) of devices in your Cloud Telefonanlage.

Devices currently configurable with the cloud telephone system:

HTek: easybell IP Phone / UC900 Series
Snom: 7xx/8xx/Dxxx Series (firmware 7.x or higher, currently with the exception of version 10)
Yealink: T-4xG/P/S Series

Note:

  • When using the ACS in the customer portal, all previous settings on the desired IP telephone are overwritten.
  • Please note that the Yealink G-series phones (T4xG) have been set to "End of Life" status by the manufacturer.The firmware versions from X.85.X required for the Yealink autoprovisioning servers have thus not appeared for these phones. Therefore, these devices can no longer be provisioned automatically. A manual configuration as described here is of course still possible.

Instructions

To have your end devices automatically configured in the Cloud Telefonanlage, please follow these steps in the easybell customer portal:

1.  Click “Cloud Telefonanlage” via “Phone Settings”.

2.  You will get to the overview page of your Cloud Telefonanlage. To configure the automatic configuration for a new device directly, click on “Add” next to “Devices” on the overview page of the cloud Telefonanlage. The remaining steps are identical from step 3.

If you would like to configure an existing device, click on the gear next to the desired device under “Devices” on the overview page. In our example, Mrs. Schmidts easybell is the IP phone:

3.You can now edit your selected mobile device. Via “Configure device”, select the question “How do you want to configure the device?” Another screen will pop up.

4. Now fill in the individual fields.

a. MAC address: The MAC address can be found on the back of your IP phone. Note: If you have also ordered easybell IP phones via your customer number, you will be offered the corresponding MAC addresses for selection in a drop-down menu here.

b. Manufacturer: Please select the manufacturer of your IP phone using the drop-down menu. If your manufacturer is not listed, easybell does not yet offer an automatic configuration option for this manufacturer.

c. Model: Use the drop-down menu to select your model.Here you can also decide whether you want to encrypt the telephony by selecting the corresponding item. You can find more on this topic in our article on call encryption.

d. Authentication:

1. You have the option of enabling configuration only on devices that authenticate themselves with access data in addition to the MAC address. We recommend that you use this option because MAC addresses can be manipulated.

The first time you reboot your IP phone, you will be asked for your username and password on the phone display. This is only necessary the first time.

2.  Select Trusted IP from the drop-down menu: Here you can exclude IP addresses from authentication. If you check this box, the gearwheel symbol will take you to the input mask for the IP addresses you have allowed.

If you have entered your public IP in this so-called “IP whitelist”, you will not be asked for user name and password when starting the phone.

e.Assign softkeys: You can assign the softkeys of your telephone individually. You will learn more about this in the following:

1. To assign softkeys, you must first enter the MAC address of your IP phone (point a.)

2. Now click on the gear next to “Assign softkeys”.

3. Enter the following fields:

  1. Name: Give the softkey a meaningful name. This appears on the display of your telephone.
  2. Function: Assign a function to the key using the drop-down menu. Busy lamp field and quick dial are available for selection.
  3. Phone number/Speed dial: Use the drop-down menu to select one of the extensions already stored in the cloud telephone system or enter the quick dial manually.
  4. To delete a created softkey, use the trash can symbol.

4. When you have created your softkeys, click on “Save”. You will be guided back to the setup interface of the device..

5. If you are satisfied with all settings, click “Save”.

6. The phone must now be restarted manually.  Then the IP phone is configured and the softkeys from the cloud PBX are visibly configured on your phone. You can start using it.

Once you are connected to the ACS, the phone automatically restarts after a saved change.

    Transfer contacts to a telephone

    You can transfer the contacts stored in your Cloud Telefonanlage to your Snom, Htek and Yealink phones using the automatic configuration (ACS).

    Note: When using Snom phones, please note that for contacts with multiple phone numbers, each phone number is stored as a single contact. The team of Snom is working on firmware improvements to allow contacts with multiple phone numbers.

    1. Transfer contacts to a phone

    1. To transfer your contacts, check the "Upload contacts to telephone" checkbox in the device's settings of your Cloud Telefonanlage.
    2. Save your settings.
    3. After saving, restart the corresponding phone.
    4. The contacts of your Cloud Telefonanlage will be transferred to the phone when you restart it.

    2. Here you can find the transferred contacts on your phone:

    • Snom D785: Transferred contacts are directly on the "Phonebook" button.
    • Htek UC924 ("easybell IP-Phone"): Transferred contacts are located in the "Remote Phonebook". To get there, press "Contacts", then press the right arrow twice, press "Apply" and confirm the selection "Cloud Phonebook".
    • Yealink devices: To see the transferred contacts press the "Menu" button. Next select "Phonebook" and then "External Phonebook". After that, select "Cloud Phonebook".

    3. Update contact information

    To transfer changes made to contacts in you Cloud Telefonanlage to your phone, please restart it after having saved these changes. With the restart, the changes will be transferred to your phone.

    4. Disabling the upload of contacts

    1. To disable the upload of contacts for a device, uncheck the "Upload contacts to telephone" checkbox in the device's settings in the Cloud Telefonanlage. Make sure to save the settings.
    2. Reset your phone to factory preset. Instructions can be found at the bottom of this page.
    3. With the next reboot, no contacts will be transferred to the phone while still being automatically configured

    Notes

    • While the IP phone to be configured is in use, the reboot cannot take place.
    • If problems occur during automatic configuration, the phone must be factory reset. This has also be done if you have set up your phone via ACS, deleted the device in the Cloud Telefonanlage and then forgotten your access data for the phone. Instructions on how to reset your phone can be found afterwards.
    • If the ACS has been activated and there is no phone online, the phone must be started manually. The phone will be overwritten.
    • After the HTEK UC924 (easybell IP-Phone) has been autoprovisioned, the automatic restart must be waited for so that the use of the G722 codec works properly.
